Shipping Policy

Standard Policy

Shipping charges are based on the item’s weight to anywhere in the US (lower 48 states) and typically ship via FedEx Ground and FedEx Freight although occasionally a Common Carrier is used for large items i.e. refrigerators, ovens etc. Freight companies deliver items on a tractor trailer which is approximately (56) inches above the ground. These trailers are designed to load and unload at a loading dock with a forklift. If you do not have a loading dock for these large items that ship via common carrier we recommend a Lift Gate to safely unload your item.

A Lift Gate is a motorized platform on the back of the vehicle that the truck driver will operate to mechanically lower your item to the ground so that you can take it inside your business. Please note a lift gate is not included in FREE and/or standard shipping and can be added to your order for $50.00. Please also note that if your address is not a commercial address a residential fee of $50.00 will apply. If inside delivery is needed, please contact us for a quote for this service. Inside delivery does not include uncrating or installation. If you have any questions about any of these shipping services please contact us before buying your item.

Important to Note: Any un-delivered item ordered from will be charged for all incurred freight charges if delivery is attempted and refused or if delivery is not possible

Standard Shipping Information

Under normal conditions, when merchandise is in stock, orders shipped by ground delivery within the continental U.S will arrive in approximately 5 to 7 business days. Shipments can be made within the United States only. We are not able to ship to APO addresses. To ensure 2nd day and next day delivery, orders must be placed by noon ET. All orders placed after noon ET will be processed the following business day.

Complimentary Ground Shipping

Standard ground shipping is complimentary for coffee orders $99 or more. For coffee orders less than $99, shipping charges will apply, as per the rate table below:

Espresso medic strives to provide excellent service and makes its best effort to meet the timing commitments detailed in this policy. Please thoroughly review this so that you know what to expect regarding receipt of your order with us.

General Terms

We ship to all 50 United States. We are able to ship some items to APO/military addresses but weight restrictions may apply and orders must be placed over the phone and not online.

Shipping Method

We reserve the right to use a different shipping carrier (using a comparable service) than what was selected at checkout. Orders will be shipped using our preferred provider and we are unable to accommodate shipping orders on a customer’s personal shipping account.

Free/Included Items

Free or bonus items included with purchase may be substituted with other items of similar value as necessary and will be shipped using the lowest cost means available.

Tracking Information

We will post tracking numbers to your order at the time of shipment or as soon as they are available.

Address Changes

If your order is processing and you need to change the shipment address, a redirect fee of $17 may apply.

Refused Delivery

If you elect to refuse the delivery of the items you ordered from or return items without requesting a RMA (Return Merchandise Authorization), a 20% restocking fee plus original shipping charges will be billed to the card on file.

Free Shipping Terms – Delivery within 5 – 9 Business Days

Free shipping is available on orders over $99 to any address in the contiguous United States.

Free shipping does not apply to orders shipping to Alaska, Hawaii, APO/military addresses or on any international orders. We will use the lowest cost means for free shipping. You may select from faster shipping methods during checkout. Orders placed with free shipping are processed between 24 – 48 hours after order placement.

Paid Shipping Terms

Orders placed with express service selected (USPS, Expedited Ground, 3-day, 2-day or Flat

Rate [3-5 days]) before 12:00 PM Eastern Time that are fulfilled from our warehouse will ship same business day; those placed on Saturday or Sunday will ship next business day. Orders placed with overnight service selected before 12:00 PM Eastern Time that are fulfilled from our warehouse will ship same business day; those placed on Saturday or Sunday will ship next business day. Merchandise shipped directly from the manufacturer require 1 business day processing time. Please note that all shipping windows refer specifically to business days, not calendar days.

Commercial Equipment

The customer is responsible for all freight charges on commercial machine shipments.

Timing of Your Shipment

You are responsible for choosing the appropriate shipping method in determining the timing of your delivery. For guaranteed delivery by a specific date, you may need to choose an expedited shipping method. If you have any questions about the timing of your shipment, please contact us prior to placing your order. Some products are shipped directly from the manufacturer in order to save time and/or distance. In general, shipping carrier estimates are best effort and not guaranteed. We have provided links to our carriers’ policies below for your convenience:

Damaged, Missing, Defective or Malfunctioning New Merchandise Policy

Please report damaged, missing, defective or malfunctioning merchandise immediately and no later than 5 business days of delivery.

Damaged Merchandise

Items are carefully packaged to protect against damage during shipping. Please carefully inspect your package when it arrives for any shipping damage. If an item appears to be damaged, do not attempt to use it and notify us immediately so that we can begin the claims process.

Missing Merchandise

Please note that we often ship orders in multiple packages. However, if items are apparently missing from your order, please report it to us immediately so we can track packages and replace the shipment if necessary.

Defective or Malfunctioning New Merchandise

If any item is not working properly or if a consumable item was received expired, please contact us immediately so that we can send a replacement.

No Tax!

No tax is charged for orders shipped within the US and to an address outside of Kentucky.

Order Cancellations:

For an item that is ordered but is not yet shipped, the order can be cancelled by request with a 5% transaction fee. The payment will be refunded within 24 hours to the payment method used to purchase the item.

To request an RMA (Return Merchandise Authorization):

Please contact us to request an RMA. Please include your E-Mail Address, Item Number and a detailed explanation of reason for your return request. Please note returns will not be processed without a valid RMA #.


All manufacturer warranties will be honored by the manufacturer only. Please contact the manufacturer for repair/replacement of these items. Espressomedic offers no additional warranties for the products they sell.

How to Request an Exchange or Return

You must first obtain a Return Merchandise Authorization (RMA) number from us for your exchange or return to be accepted.

  • Let us know why you’d like to return the machine — we’ll help you determine if there is an exchange that will better suit your needs

  • We will send an RMA email to you with detailed instructions on exchanging or returning your merchandise

Please review the merchandise-specific policies below to learn about what we can and cannot take back.

Espresso Machine, Coffee Maker, Grinder, Roaster or Blender (all electric appliances)

Machines must be received in ‘Like New’ condition. If your equipment arrives in this condition, we will refund your original payment method the full purchase amount less our original shipping & handling costs. Equipment that is not received in this condition will be assessed for damage and may be subject to refurbishment fees.

Note: Espresso machines that have been modified or customized (such as a self-installed PID or plumbing adaptation) are not eligible for return. However, PIDs installed at the time of purchase by Espressomedic, or those that have been factory installed by the manufacturer, are still eligible for return.

Free or Included Items

We’ll apply a full credit back on all unopened, unused free non-consumable accessories that are returned with the original machine. If you plan on exchanging the machine, feel free to hang onto these items instead of receiving new free accessories on your replacement machine. Unfortunately, due to quality control issues, we cannot accept any returns of consumable goods such as coffee, syrups or sauces. The cost of these will be automatically deducted on all returns.

Non-Consumable, Accessory Items (non-electric) and Parts

We will take back any unopened, unused non-consumable items, accessories or parts. We will apply a credit to your original payment method in the amount of the price paid minus any shipping & handling costs, if applicable.

Consumable Items

Due to quality control and food safety issues, we are unable to accept returns on any consumable items such as coffee, syrups and/or sauces. Even if these items are still sealed, we cannot assume they are tamper-free once they are out of our hands.

What is ‘Like New’ Condition?

We’re reasonable and understand that a machine used a few times isn’t going to be absolutely perfect; however, it does need to be pretty close for us to sell it as a certified used machine to another customer. When returning a machine to us, please make sure that it will arrive to us in

‘Like New’ condition, which we define as the following:

  • All Original Components Intact: You must return every original component of the machine, such as the original packaging, drip tray, portafilter, brew head (if removable), filter screens, filter baskets, user manuals, tampers, CDs, scoops, etc. Basically, if it came in the box, send it back.

  • No Scratches, Dents or Stains: The machine and all components must be free of any surface marring.

  • Thoroughly Cleaned: The machine, all parts and components must be absolutely clean and free of any coffee grounds, water and/or milk residues.

Payment Requirements:

Your shipping address must be added to your credit card account. During our credit card processing, your address is correlated with the issuing card company. If they decline the purchase for any reason, your order will not ship and be canceled. For an easy and successful transaction, we highly recommend shipping to your billing address. also requires you to enter the CVV2 code number located on the back of your credit card. If this is not supplied, your order may be delayed or canceled.

Sales Tax:

Residents of Kentucky will be charged 6.00% sales tax at checkout.

Order Processing Time: processes and ships orders within 24 hours when the order is placed on an operating business day. Orders placed on Fridays are subject to be shipped out on the following

Monday. Additionally, some orders go through our fraud prevention department. If your order is selected, you will be notified and your order may be delayed an additional three (3) business days.

Security is our number one priority. Once we receive your information through the

Internet, only trusted, authorized employees will process the payment to make sure your information is handled with the utmost security. No personal information will be sold or sent to third party marketing companies.

Shipping Packaging Policy:

Due to the rules and regulations set forth by UPS, all UPS Small Pack Ground/Air packages must be shipped with at least 2″ of interior foam/bubble wrap or paper packing material.

Therefore, your new item may be opened in order to add this additional packaging material before shipment. This no way affects the warranty or condition of the unit being purchased. If you have any questions once the item is received regarding this shipping policy, please contact our customer service department.

Promo Code/Coupon Information and Policies: offers promo codes and coupons for discounts on our website. Promo codes and coupons are issued with expiration dates. Once a promo code or coupon expires, it cannot be redeemed. Promo codes and coupons are not given verbally or over the phone. They are given via confirmation tracking emails, newsletter emails, and message posts on our

Facebook page. Promo codes and coupons, if issued, cannot be redeemed for past history purchases. Once an order is received and a promo code or coupon was not used, that order cannot be modified to use a given promo code or coupon. Promo codes and coupons cannot be redeemed as cash value. has the right to cancel any order if they feel a promo code or coupon has been issued incorrectly or abused during purchases.
